Who will pay the cancellation fee?
Organizers worry that it would be difficult to charge cancellation fees to people who didn’t show up.
 
Therefore, in the case of competitions that have been held multiple times,
a common approach is to stockpile a certain amount of funds and use that to pay cancellation fees.
 
However, this requires the organizer to keep track of the accounting every time, which can be quite a difficult task.
 
He also has to report back to the participants.
 
The competition may be cancelled due to weather or other reasons.
 
In this case, the organizer would pay the cancellation fee in one lump sum
and then bill each person later, but billing each person in this way can be quite a hassle.
 
Additionally, they may insure their bookings to make it easier for as many people as possible to attend.
 
For example, the organizer books different courses on both Rakuten’s and GDO’s websites,
and ultimately chooses the one that best suits the participants’ preferences.

but the worst part is forgetting to cancel one of them.
 
This actually happened to us, and it came to 40,000 yen (about $30) for 20 people at 2,000 yen each.
 
This is too much for one organizer to bear,
and even if they have the funds in stock, it would be too difficult.
 
I think the shock to the organizer when he found out was enormous.
 
At this time, we understood the situation and decided to waive the cancellation fee.
 
However, the organizers are taking on that risk for the participants.
 
That’s why we decided to waive the fee.
 
No, I’m not trying to emphasize that we had waived the fee.
 
We usually discuss the matter so that we can properly collect the cancellation fee.
 
However, this cancellation was a real blow to the golf course,
as it wiped out revenue of just over 300,000 yen (about 2,000 dollars) in an instant.
 
If only they had remembered to cancel,
I think the spot would have been filled with other reservations.
 
For this reason, some golf courses set the cancellation fee for competitions much earlier, such as one month in advance.
 
Golf is a sport that requires consideration for others,
but when booking a competition, we hope you will also show some warmth and love to the golf course.

と幹事様のご苦労を記載させて頂きましたが、
幹事様のご苦労について言えば、
キャンセル料のことは外せません。
 
キャンセル料の本質←のように多くのコースには
キャンセル料が存在しています。
 
ただ、きちんと予定通り参加者が集まれば
キャンセル料は何も怖くありません。
 
でも、直前に欠席者が出た場合、参加人数が
多ければたいてい出るんですが、この場合は
思案どころとなります。
 
誰がキャンセル料を負担するのか？
来ていない人にキャンセル料を請求するのは
ちょっとと幹事様は悩みます。
 
そこで、会を重ねているコンペの場合では
ある程度の資金をストックし、
そこから捻出するという手法が取られます。
 
しかし、そのためには幹事様が毎回毎回
きちんと会計をしていくことが求められ、
これは結構大変なことです。
 
参加者にも報告をしなければいけませんし。
 
雨等でコンペそのものがキャンセル
という場合もあります。
 
この場合、キャンセル料を幹事様がまとめて支払い、
後で各人に請求という形になるでしょうが、
この各人に請求も結構面倒な作業です。
 
別に、少しでも多くの方が参加しやすくと
予約に保険を掛ける場合があります。
 
例えば、楽天様とGDO様で別のコースを
それぞれ取り、より参加者の希望に沿う方を
最終的に選択するというやり方です。
 
そういう作業だけでも大変なことがお分かり
頂けると思いますが、恐ろしいのは片方を
キャンセルし忘れた時ですね。
 
私どもでも実際にあったのですが、
2,000円×20人で4万円。
 
これを幹事様が負担するのは大きすぎますし、
ストックがあっても辛すぎます。
 
発覚した時の幹事様のショックは
相当大きかったと思います。
 
この時は事情がわかったため、思い切って
キャンセル料は無しということにさせては
頂きました。
 
でも、参加者のためにそういうリスクを
幹事様は背負っていらっしゃいます。
 
だかれこそ、無しということに我々もさせて
頂いたのですが。
 
いや、別に無しを強調しているわけでは
ないですよ。
 
通常はきちんと頂くよう、心を鬼にしてお話を
させて頂いています。
 
でも、これ、ゴルフ場としては本当に痛かったん
ですよね。30万円ちょっとの売上が一瞬で飛び
ましたから。
 
忘れずにいてくれさえすれば、十分に他の申込み
で埋まっていたと思うんです。
 
そのため、ゴルフ場によっては
コンペの場合のキャンセル料発生時期を
1か月前にする等の処置をしている所もあります。
 
ゴルフは他人への思いやりのスポーツですが、
コンペ予約の際は、ゴルフ場側へも
温かな愛をお願いします。
 
予約が要らなくなった時は直ちに
キャンセル連絡を。
心からお待ちしています。

明日は私も別のコースを予約していますが、
多分、雨でキャンセル料を払ってヤメ
ということになると思います。
 
でも、利用者の立場からすると
 
「千円2千円で、雨の中のラウンドを
　勘弁してくれるなら喜んでそちらで。」
 
と思うんですよねえ。
コンペでもありませんし。
 
『たかが雨でラウンドを止めるなんて、
　甘ちゃんゴルファーだなあ』
 
ということはあり、それに対して反論は出来ない
のですが。
